The Mining Industry Human Resources Council (MiHR) is an independent, non-profit organization that leads collaboration among mining and exploration companies, organized labour, contractors, educational institutions, industry associations and Indigenous groups to identify and address the human resource and labour market challenges facing the Canadian minerals and metals sector.

About the position

Reporting to the Manager, Accounting & IT, the Office Coordinator ensures the smooth day-to-day operations of the Council office by planning, leading, coordinating and organizing a broad range of administrative functions that support all Council staff and the overall effectiveness of the office

Responsibilities

  • Responds to, and/or directs external general program inquiries about the Council (phone, email)
  • Purchases, tracks and maintains inventory of all office supplies (paper, kitchen supplies, tablets,  etc.)
  • Purchases, tracks and maintains all office equipment (ie. printer, office furniture, appliance etc.), including arranging repairs and service with appropriate vendors.
  • Compiles meeting materials required for Board of Directors and Committee meetings
  • Ships all materials for conferences, meetings, tradeshows, etc.
  • Coordinates and carries out all in-house printing needs including reports, brochures, small posters, training binders and other related materials
  • Provides administrative support to all staff including, but not limited to:
  • Booking staff travel
  • Completing expense claim support
  • Making logistical arrangements for meetings and conferences (hospitality, meeting    rooms, etc.)
  • Communicating and ensuring adherence to travel policies and procedures
  • Processing mail and courier requests
  • Checking the mail daily
  • Making deposits at the bank
  • Maintain the Council’s contact database ensuring it is up to date and relevant
  • Lead the Health & Safety team and ensure workplace safety policies and procedures are up to date and adhered to
  • Assists with bookkeeping tasks like entering invoices in the workflow approval system and entering invoices in the accounting system

Education/Experience

  • Two-year certificate in Office Administration, or equivalent
  • Minimum five (5) years administrative experience
  • Intermediate experience using Microsoft Office products
  • Ability to work independently and in a team environment
  • Ability to prioritize and multi-task
  • Excellent verbal and written communication skills
  • Ability to be adaptable and flexible with changing requirements
  • Bilingualism an asset

About the position

Reporting to the Director, Communications and Career Development, the Senior Manager, Communications & Stakeholder Engagement is responsible for overseeing MiHR’s communications planning and stakeholder outreach initiatives to support Council projects and programs.

In this role, the Senior Manager, Communications & Stakeholder Engagement:

  • Leads the development and implementation of communications plans in support of Council projects and programs.
  • Develops and implements outreach and engagement strategies to build awareness and stakeholder participation in Council projects and programs.
  • Manages social media activities in support of all Council projects and programs.
  • Identifies strategic opportunities, including business development and proposal activities, through stakeholder and partner relations.

As part of the Communications and Career Development Team, the Senior Manager participates in building awareness of the Council, engagement of stakeholders and uptake of Council programs.

Responsibilities

  • Oversees contact databases and leads outreach strategies and activities to increase awareness of and engagement with the Council and its projects and programs.
  • Leads program-specific communications planning and activities with other MiHR teams.
  • Leads program-specific outreach and engagement strategies and activities with other MiHR teams. 
  • Plans and oversees the promotion of virtual and in-person events including webinars, conferences, and career fairs.
  • Identifies new stakeholders for programs and events to expand MiHR’s network, coordinate MiHR’s involvement, and pursue partnerships and opportunities that build awareness for the Council and its goals and objectives.
  • Supports media relations activities by developing news articles, web-copy, reports, marketing materials, other communications content, as required, and by monitoring MiHR media coverage.
  • Conducts quality assurance for publication production including proofreading, fact checking and editing reports, articles, newsletters and other Council promotional material.
  • Conducts primary and secondary research to prepare presentations, speaking notes and other meeting materials.
  • Supports the development and implementation of communications strategies, campaigns and business development activities.
  • Other duties as required.

Education/Experience

  • University degree in Marketing, Communications, Business Administration or equivalent.
  • 5+ years of experience working in communications.
  • Experience in effectively leading projects and programs with multiple stakeholders and consultants.
  • Strong data management, project tracking, evaluation and quality assurance skills.
  • Strong communication skills required including written (i.e. reports, social media, day-to-day messaging) and verbal (facilitation, presentation, in person, online, large or small groups)
  • Ability to shift between rotating priorities based on program deliverables and project timelines.
  • Ability to work independently and in a collaborative team environment required.
  • Ability to work in English, French considered an asset.
